Personal Data We Process
If you contact ConferPoster by email or through the contact form, we may process the information you voluntarily provide, including your name, email address, organisation, job role and the contents of your message.
Please do not send sensitive personal information unless it is necessary for your enquiry.
Purpose of Processing
Personal data received through correspondence is used solely to:
respond to enquiries; discuss potential cooperation with conference organisers and other partners; evaluate interest in the ConferPoster concept; and develop the proposed service based on relevant professional feedback.
Your contact information will not be used for unrelated marketing purposes or sold to third parties.
Legal Basis
Personal data relating to enquiries and professional correspondence is processed on the basis of legitimate interests in communicating with interested parties, evaluating the feasibility of the ConferPoster project and developing potential professional partnerships.
Where communication concerns possible future contractual cooperation, processing may also be necessary in order to take steps at the request of the person concerned prior to entering into a contract.
The GDPR permits processing where it is necessary for legitimate interests, provided that those interests are not overridden by the rights and freedoms of the individual, and separately permits processing necessary for steps taken at the request of a person before entering into a contract.
Data Retention
Personal data contained in general enquiries will be retained only for as long as reasonably necessary to respond to the enquiry and evaluate potential cooperation.
If no further cooperation or communication develops, the correspondence will normally be deleted within 12 months after the last meaningful communication, unless a longer retention period is required by law or necessary for the establishment, exercise or defence of legal claims.
For professional outreach contacts, personal data will be retained only for as long as reasonably necessary for the validation and potential cooperation process. If there is no response or further communication, the information will normally be deleted within 12 months.
If a person asks not to be contacted again, minimal information may be retained on a suppression list solely for the purpose of ensuring that no further outreach is sent to that person.
Website Hosting and Technical Services
This website is built and hosted using Framer, provided by Framer B.V., Amsterdam, the Netherlands.
Framer may process certain technical data necessary to provide, secure and operate the website in accordance with its applicable data protection terms.
If Framer’s built-in analytics are used, they operate without persistent tracking cookies. No third-party advertising or behavioural tracking technologies are intentionally used on this website.
Sharing of Personal Data
Personal data will not be sold.
Data may be processed by technical service providers where necessary for operating the website, email communication or IT infrastructure. Such providers may only process data for the relevant service purposes and subject to applicable data protection requirements.

As part of the validation and development of the ConferPoster concept, I may identify and contact conference organisers, event representatives and other relevant professional contacts using business contact information made publicly available on conference, university, association or organisational websites.
The personal data processed for this purpose may include:

organisation or conference affiliation;
the publicly available source of the contact information;
information relating to correspondence with ConferPoster.
This information is used solely to identify potentially relevant professional contacts, introduce the ConferPoster concept, seek feedback, and explore possible future cooperation with conference organisers.
